Travelers are responsible for ensuring all required travel documents are valid and up-to-date. Passports must be valid for at least six months beyond your travel dates, and some countries require a full blank page for entry stamps.

Life can be unpredictable, and even well-planned trips may be affected by unforeseen events. YOUR TOUR recommends purchasing Travel Protection for coverage including:

Trip cancellation or interruption

Travel Protection may be purchased anytime before your final payment. Premiums are non-refundable after a 10-day review period. Travelers must be medically able to travel at the time of purchase. Cancel for any reason up to 72 hours before departure

Flexible Cancellation Option Cancel For Any Reason (CFAR)

The CFAR option allows travelers to cancel their trip up to 72 hours prior to departure for reasons not covered by standard Travel Protection. CFAR must be purchased together with Travel Protection.

For tours, a future travel credit will be issued for the full trip cost minus deposits, airline fees, amendment fees, and insurance premiums.

For cruises, a future travel credit equals 50% of the trip cost minus deposits, airline fees, amendment fees, and insurance premiums.

CFAR credits are valid for two years from the original departure date, are non-transferable, and have no cash value. Airline fees vary and may be non-refundable; future air credits must be used with the same airline. Rebooking deadlines vary by airline.

How and when your travel documents will be delivered

Receiving Your Itinerary & Tickets Travel Documents

Upon receipt of full payment by the final due date, YOUR TOUR will email all travel documents, including tickets and itineraries, approximately 21 days prior to the start of services. This ensures travelers have sufficient time to review and prepare for their journey.

Safety and age requirements for young travelers

Travel Requirements for Children Children & Minors

All children under 18 must travel with a responsible adult. Minimum age requirements vary by program:

Escorted & Deluxe Tours: 8 years

Discovery Tours: 12 years

European River Cruises: 16 years

Walking Tours: 16 years

Custom Group Tours: 8 years

Rwanda & Uganda Programs: 15 years

Antarctica Programs: 12 years

Independent Galapagos Programs: 8 years

Independent Iceland Northern Lights Programs: 6 years

Discounts may apply for children under 12 sharing a room as a third occupant. Most hotels do not permit minors to occupy a room without an adult. Adults accompanying children are responsible for their safety, including providing necessary safety equipment (e.g., child/infant seats).

If a child under 18 is traveling with only one parent or with adults other than their legal guardians, a notarized authorization letter must be provided, specifying the travel dates and signed by the parent(s) or legal guardian.

What is included and excluded in your trip cost

Tour & Package Prices Pricing

Prices are per person based on shared twin occupancy. They do not include personal expenses such as:

Laundry, beverages, wines, and food outside of the included menu

Passport or visa fees

Travel Protection (Insurance) premiums

Foreign port taxes, unless indicated in the package

Prices are accurate at the time of publication but may fluctuate due to airfare or service availability. YOUR TOUR reserves the right to adjust prices in the event of human or computer errors.

If a lower land package price is available after booking, a travel credit equal to the difference may be issued, valid for one year toward a new YOUR TOUR booking.

Refunds are available for passengers who decline a price adjustment, provided a written cancellation is submitted within five days of notification.
 

How and when to pay for your travel

Deposits & Full Payment Payments

Deposit:
A non-refundable deposit is required at the time of booking:

Standard reservations: $300 per person

Antarctica, Armenia, Australia**, Canada cruises, Discovery Brazil, Galapagos cruises, Georgia, Greenland, India cruises, New Zealand, Norway cruises, USA cruises: $500 per person

Uganda: $800 per person

Rwanda: $1500 per person

Travel Protection premiums are not included in the deposit and may be paid anytime prior to final payment.

Full Payment:

Standard reservations: 90 days prior to departure

Cruises in Antarctica, Canada, Greenland, Galapagos, India, USA: 120 days prior

Instant Purchase Airfare or Packages: at time of booking

Special events or customized groups may have earlier payment deadlines as indicated on the invoice

Late Payment:
Outstanding balances past the due date may result in automatic cancellation and applicable cancellation fees.

Last-Minute Bookings:
Reservations must be made at least 6 days prior to departure. Confirmed bookings are subject to cancellation penalties; unconfirmed bookings will be fully refunded.

Form of Payment:
All payments are in USD. Accepted methods include:

Wire transfer ($25 transfer fee applies)

Major credit or debit cards (no third-party cards accepted)

Payments within 30 days of departure must be via credit/debit card.

Refunds:
Refunds are processed to the original payment method, up to the total amount paid.

Policies for modifying travel reservations

Changes to Existing Bookings Reservation Modifications

Changes to confirmed reservations such as destination, travel date, or passenger replacement may be requested before the final payment deadline.

• Changes made before final payment are subject to an amendment fee of $50 per passenger.
• Changes made after the final payment date may be treated as cancellations and will follow the applicable cancellation policy.

Certain destinations and specialized programs may have stricter policies, where deposits become fully non-refundable when modifications are made. These exceptions will be clearly indicated during booking.

Optional tours and airport transfer services may be modified up to 7 days prior to departure without amendment fees.

Air reservations may be cancelled without penalty prior to ticket issuance. After tickets are issued, airline change penalties and fare differences may apply.

Custom group bookings may have different amendment policies, which will be specified in the group agreement or invoice.

Cancellation procedures and applicable fees

All cancellations must be submitted in writing through the cancellation request form available on the Contact Us page of our website.

Cancellation fees are calculated based on the date YOUR TOUR Now receives written notification and are applied to the total payment received excluding insurance premiums and airline ticket costs.

Standard cancellation charges:

• More than 91 days before departure: $300 per person
• 90 – 31 days before departure: 50% of total trip cost
• 30 – 2 days before departure: 90% of total trip cost
• 1 day or less before departure: 100% of total trip cost

Some specialized destinations or cruise programs may have different cancellation terms due to supplier policies.

Travel protection premiums are non-refundable after the initial review period.

If a traveler cancels from a shared room, the remaining guest may be required to pay a single supplement.

Travel support for passengers with special needs

Accessibility & Special Assistance Travelers Needing Assistance

Travelers requiring special assistance, including those with mobility limitations, hearing or visual impairments, or medical conditions, should notify YOUR TOUR at the time of booking.

Our tours may involve walking, stairs, uneven terrain, or fast-paced itineraries. Guests requiring assistance must travel with a companion capable of providing the necessary support.

Tour managers and staff cannot provide individual physical assistance such as:

• Lifting passengers
• Pushing wheelchairs
• Assisting with boarding transportation

YOUR TOUR reserves the right to decline or remove participation if a traveler’s condition may pose a safety risk to themselves or others.

Any related expenses will be the responsibility of the traveler.

Airline tickets, schedules, and passenger responsibilities

Air Travel Policies Airline Services

YOUR TOUR offers air travel arrangements as a convenience for travelers. Airline services are provided by independent carriers and are subject to each airline’s rules and policies.

Passengers must provide accurate travel information including:

• Full legal name as shown on passport
• Date of birth
• Contact details
• Passport or identification information

Name discrepancies may require ticket re-issuance and additional airline fees.

Airlines may change flight schedules, routing, or aircraft type without prior notice. YOUR TOUR is not responsible for such operational changes.

Seat assignments are requested as a courtesy but are not guaranteed and may be modified by airlines.

Accommodation arrangements during your trip

Hotel accommodations are provided in standard twin or double rooms with private facilities unless otherwise specified.

Room types, bed configuration, and connecting rooms are subject to availability and controlled by the hotel.

Check-in time is generally after 4:00 PM, while check-out time is usually before 12:00 PM.

Hotels may vary in size, style, and amenities depending on the destination. In certain locations, air conditioning may operate seasonally or according to local energy regulations.

YOUR TOUR reserves the right to substitute accommodations with hotels of similar standard when necessary.

Meal inclusions and dietary requests

Included meals are based on local cuisine and restaurant set menus or buffet service.

Vegetarian options are generally available; however specialized dietary needs such as:

• Vegan
• Gluten-free
• Low-sodium
• Religious dietary restrictions

may not always be available in every destination.

Dietary requests should be submitted at the time of booking, but cannot be guaranteed.

Transportation services included in your itinerary

Airport Transfers and Ground Transportation Transportation & Transfers

Transfers between airports, hotels, and ports are included when specified in the itinerary.

These services are typically provided by private vehicles, minibuses, or motor coaches depending on group size.

Arrival transfers are guaranteed for up to one hour after scheduled arrival time. Delays beyond that period may require passengers to arrange alternative transportation at their own expense.

Passengers booking land-only tours may purchase transfers separately.

Agreement required before travel

All passengers must complete a Passenger Agreement confirming their acceptance of YOUR TOUR’s terms, policies, and liability provisions.

Travel documents will only be issued once the Passenger Agreement has been completed.

Bookings may be cancelled if the agreement is not completed prior to travel.
